Billing & Usage
The Billing Usage page lets you monitor your resource consumption and manage overage settings. Access it from Admin > Billing Usage in your admin panel.
Overview
This page shows:
- Your current plan and its limits
- Real-time usage across all metered resources
- Overage credit balance and settings
- Options to upgrade or topup credit
Page Layout
Header Actions
The header displays action buttons based on your current plan and payment status:

Plan Limits & Overage Rates Card
This card displays your current plan information:
Plan Name
Shows your current subscription tier (Free, Professional, Premium, or Enterprise).
Included Limits
Three boxes showing your plan's limits:
| Resource | Description |
|---|---|
| Vector Chunks | Text segments from your uploaded documents stored for AI search |
| Products | Product records in your catalog for filtering and queries |
| Queries / Month | Chat messages that trigger AI responses (resets monthly) |
Limits display as numbers or "∞" for unlimited plans.
Overage Rates
When overage is enabled, shows pricing for exceeding limits:
- Per 1,000 extra chunks
- Per 1,000 extra products
- Per 100 extra queries
Rates vary by plan tier. If overage is disabled, a message prompts you to enable it.
Alerts
The page displays alerts based on your usage status:
Approaching Limits
Shown when any resource reaches 67% or more. Suggests upgrading your plan.
Exceeded Limits
Shown when any resource exceeds 100%. Indicates overage charges are active (if enabled) or action is needed.
Overage Credit Balance Card
Credit Balance Display
Shows your current overage credit balance prominently with a Topup button (for paid plans).
Plan Details
Displays your plan name and monthly price (e.g., "professional plan at $89/month").
Allow Overage Charges Toggle

| Enabled | When limits are exceeded, overage charges apply from your credit balance |
| Disabled | When limits are reached, usage is blocked |
Note: Free plan cannot enable overage - upgrade required.
Usage Cards
Three cards display real-time usage for each metered resource:
Monthly Queries
- Current count of AI queries this billing cycle
- Limit from your plan
- Progress bar and percentage
- "Over limit" badge when exceeded
Vector Chunks
- Current count of indexed document chunks
- Limit from your plan
- Progress bar and percentage
- "Over limit" badge when exceeded
Products
- Current count of catalog products
- Limit from your plan
- Progress bar and percentage
- "Over limit" badge when exceeded
Progress Bar Colors
| Percentage | Color | Meaning |
|---|---|---|
| 0-66% | Green | Normal usage |
| 67-99% | Yellow | Approaching limit |
| 100%+ | Red | Over limit |
Topping Up Overage Credit
Click Topup or Topup Overage Credit to add credit:
- Available when overage is enabled and payment method exists
- Enter the amount to add (defaults to your monthly plan price)
- Review tax if applicable
- Confirm to charge your payment method
When to topup:
- Before high-traffic periods
- When overage balance is low
- To ensure uninterrupted service
Plan Selection Dialog
When upgrading from Free, a dialog lets you choose between:
Professional Plan
- $89/month
- 1,000 vector chunks
- 1,000 products
- 1,000 queries/month
- Branding & AI support
Premium Plan
- $189/month
- 2,000 vector chunks
- 2,000 products
- 2,000 queries/month
- Dedicated database
Danger Zone
Close Account
Permanently closes your account and cancels your subscription. Hidden for enterprise plans.
Process:
- Click Close Account
- Review the refund summary:
- Subscription refund (prorated for unused time)
- Overage credit refund (unused balance)
- Tax refund (if applicable)
- Total refund amount
- Type "CLOSE" to confirm
- Click to proceed
What happens:
- Subscription cancelled immediately
- Refund processed to your payment method (if applicable)
- Account data scheduled for deletion
- Redirected to home page
Best Practices
Monitor Regularly
- Check weekly - Review usage trends before limits are reached
- Watch the alerts - Act when you see yellow warnings
- Set reminders - Monthly check before billing cycle reset
Manage Overage Wisely
- Enable proactively - Turn on before you need it
- Keep credit balance - Maintain some balance for unexpected spikes
- Review charges - Check billing statements for patterns
Plan for Growth
- Track trends - If consistently near limits, consider upgrading
- Compare costs - Overage rates vs. next plan tier
- Upgrade timing - Upgrading before needing overage often saves money
Troubleshooting
Can't Enable Overage
- Free plan - Upgrade to Professional or Premium first
- No payment method - Add a payment method before enabling
Can't Topup Credit
- Overage disabled - Enable overage first
- No payment method - Add a payment method first
- Payment failed - Check your payment method is valid
Usage Not Updating
- Refresh the page
- Usage updates may have slight delays
- Queries reset at the start of each billing cycle
Shopify Store Integrations
If you installed the app from the Shopify App Store, billing works differently:
- Billing handled by Shopify - All charges go through your Shopify account
- Monthly only - Annual billing is not available for Shopify tenants
- No payment methods page - Shopify manages payment information
- Simplified billing views - Some billing sections are hidden since Shopify handles transactions
